How do you track warranty parts separately in inventory?
As a shop owner, I often find myself juggling various aspects of inventory management, especially when it comes to warranty parts. The challenge is not only keeping track of these parts but also ensuring that they don’t interfere with my regular inventory counts. I want to ensure that when a warranty part is used, it’s documented correctly for both liability and future ordering purposes. How do you all handle this at your shops? Currently, I use a basic inventory management software that allows me to track parts but doesn't have a specific feature for warranty parts. I’ve thought about creating a separate category for them, but I'm worried it might complicate my workflow. Any advice on best practices or software tools that might help streamline this process would be greatly appreciated!

In my shop, we’ve found success using a dedicated inventory management software that includes a warranty tracking feature. When we receive parts, we enter them into the system under a 'Warranty' category. This way, they are clearly marked and separated from our regular inventory. When we install a warranty part, we create a service ticket that references the original invoice, so it’s easy to track down later if needed. It simplifies the whole process and helps ensure we’re not losing money on warranty claims.
I faced a similar issue in my shop until I started labeling warranty parts with a unique identifier. I keep a spreadsheet that tracks these parts separately. Each time we use a warranty part, I update the spreadsheet with details of the job and the part number. While it’s more manual and less seamless than using dedicated software, it works for us. You might also want to check with your parts vendors; some of them offer tracking systems that could integrate with your existing setup.
