Same-day repair promise — how do you set realistic cutoffs?
As a repair shop owner, I’ve always struggled with setting realistic cutoffs for our same-day repair promise. Initially, I thought it was all about speed, but I quickly realized that managing customer expectations and ensuring quality work is just as important. I want to make sure our team isn’t overwhelmed with last-minute repairs, yet I also don't want to lose customers to competitors who promise faster service. Currently, we aim to complete repairs by 5 PM if they come in before noon, but I’m finding that sometimes our parts deliveries lag, or unexpected issues arise. How do you balance the need for speed with the reality of your workflow? What strategies have you implemented to set cutoffs that are both achievable and profitable?

Setting realistic cutoffs starts with knowing your workflow intimately. I recommend analyzing your average repair times for different services and then adding some buffer time for unexpected issues. For instance, if a typical screen replacement takes about 2 hours, consider a cutoff that allows for 3 hours. I also use shop management software that tracks repair times, which helps me adjust cutoffs as necessary. Additionally, having a reliable parts vendor is crucial; I’ve found that establishing strong relationships with local suppliers reduces delays significantly. Lastly, communicate clearly with your customers. If you have a sudden influx of repairs, let them know upfront that the cutoff may be extended. Setting expectations can turn a potential negative into a positive, as customers appreciate transparency.
What I’ve found helpful is to create a prioritized list of repairs. If a customer brings in a device for a quick fix that I know I can manage, I’ll offer them a same-day service. However, I also clearly define what types of repairs can be promised same-day versus those that can’t. For instance, battery replacements are quicker than motherboard repairs.
